Decorator Guidelines

  1. Decoration Approval: All decorations must be approved by Twisted Vines before installation.

  2. Attachment Restrictions: Only small pushpins and drafting tape (with permission) are allowed for affixing decorations. No nails, staples, or other adhesives are permitted.

  3. Prohibited Decorations: The use of candles with real flames, confetti, rice, balloons, glitter, fog machines, and pyrotechnics is strictly prohibited.

  4. Set-Up & Tear-Down: Set-up and tear-down must occur within the agreed rental period. Any changes to the venue’s setup, such as moving furniture, must be pre-approved and returned to the original condition after the event.

  5. Trash & Clean-Up: The Decorator is responsible for ensuring that all decoration materials, packaging, and trash are removed from the venue at the end of the event. The area must be returned to the same condition as when you started. All trash must be taken off-site unless the Client has arranged for an extra trash removal service with Twisted Vines.

 

Caterer Guidelines

  1. Kitchen Use: The kitchen area is for warming and storage only; ABSOLUTELY NO Cooking and NO dishwashing is allowed. No food down the drain, not a disposal. We are not a commercial kitchen. Please ensure all liquid food waste (e.g., grease, gravy, sauces, etc.) is removed using a bucket or other appropriate container. Disposal of this waste is not permitted on our property or in neighboring yards.

  2. Ice: Caterers must provide their own ice.

  3. Licensing: Caterers must be licensed and insured according to NC laws. Proof must be provided.

  4. Meal Provision: Caterers must provide meals for up to 3 Twisted Vines employees when serving buffet-style.

  5. Trash & Clean-Up: The Caterer is responsible for ensuring that all food-related waste, packaging, and trash are removed from the venue at the end of the event. The kitchen and any other areas used must be cleaned and returned to the same condition as when you started. All trash must be taken off-site unless the Client has arranged for an extra trash removal service with Twisted Vines.

Twisted Vines Vineyard Kitchen Usage/Clean-Up Checklist

Please ensure the following usage rules are followed and tasks are completed before leaving the venue to ensure we are in compliance. All areas must be cleaned and returned to their original condition.

  1. Kitchen Use:   This is NOT A COMMERCIAL KITCHEN.  The kitchen area is for warming and storage only. 

    • ABSOLUTLY NO COOKING

    • NO Dishwashing is allowed

    • NO FOOD IN DRAINS-IT IS NOT A GARBAGE DISPOSAL. 

  1. Ice: Caterers must provide their own ice. Our Ice Machine is not for Vendor Use.

  2. Licensing: Caterers must be licensed and insured according to NC laws.

  3. Meal Provision: Caterers provide meals for up to 3 Twisted Vines employees when serving buffet-style.

  4. Trash & Clean-Up: The Caterer is responsible for ensuring that all food-related waste, packaging, and trash are removed from the venue at the end of the event. The kitchen and any other areas used must be cleaned and returned to the same condition as when you started. All trash must be taken off-site unless the Client has arranged for an extra trash removal service with Twisted Vines.

General Clean-Up

  • Countertops & Surfaces: Wipe down all countertops, tables, and any other surfaces used.

  • Sinks: Clean and rinse out sinks. Remove any food debris and wipe dry.

  • Appliances: Clean any appliances used, including warming ovens, refrigerators, and microwaves. Ensure they are turned off.

  • Refrigerator & Freezer: Remove all food items from the refrigerator and freezer. Wipe down shelves if used.

  • Floors: Sweep and mop the kitchen floor, ensuring no food or liquid spills are left behind.

Trash & Waste Disposal

  • Trash Removal: Bag and remove all trash generated during the event.

  • Trash Can Liners: Replace trash can liners after removing the trash.

Food Storage & Removal

  • Leftover Food: Remove all leftover food from the kitchen.

  • Dispose of Food: Properly, do not throw left over food in yard or neighbor’s yard.

Additional Clean-Up Tasks

  • Trash Cans: Wipe down trash cans if they are dirty or sticky.

  • Kitchen Equipment: Return all kitchen equipment to its original place/condition.

  • Borrowed Items: Return all borrowed or used items that belong to Twisted Vines.

Reminder: Failure to complete this checklist may result in additional cleaning fees. Please leave the kitchen in the same condition as you found it.

Bartender Guidelines

1.     Alcohol Permit: The Client must obtain a Limited Special Occasion Permit for events with alcohol. Proof must be provided 30 days before the event.

2.     Bartender Responsibilities: It’s recommended that a licensed and bonded bartender is employed. Bartenders must ensure that no one under 21 is served and that intoxicated guests are not served.

3.     Glassware: No alcohol can be served in glass containers, except for the Bride and Groom during the toast.

4.     No Shots: Serving shots of alcohol is strictly prohibited.

5.     Alcohol Service Time: Alcohol service must cease 30 minutes before the event ends or after a maximum of 5 hours.

6.     Ice, Water & Non-Alcoholic Drinks: If a bar with a bartender is provided, the bartender must also provide ice, water and non-alcoholic drinks if they are not being served elsewhere. The venue’s ice machine is not for bar use.

7.     Prohibition of Alcohol Sales: Under no circumstances shall the Client or Bartender sell or attempt to sell alcohol to anyone.

8.     Legal Compliance: The Bartender must ensure strict adherence to NC state laws, particularly regarding the prohibition of alcohol consumption by individuals under 21 years of age, even if accompanied by a parent or guardian.

9.     Intoxicated Guests: The Bartender is responsible for ensuring that alcohol is not served to anyone who is visibly intoxicated or appears to be intoxicated.

10.  Venue Authority: Twisted Vines reserves the right to instruct security personnel to remove any person from the venue if, in the opinion of the Twisted Vines representative or security officer, the person is intoxicated, unruly, or poses a danger to themselves, others, or the venue.

11.  Penalty for Policy Breach: If any of these alcohol policies are breached, the Client shall be assessed a $1,500 penalty. Additionally, Twisted Vines may cancel all bar services without a refund and may report the Client and/or Guests to authorities.

12.  Trash & Clean-Up: The Bartender is responsible for ensuring that all drink-related waste, such as cups, bottles, and trash, is removed from the venue at the end of the event. The bar area must be cleaned and returned to the same condition as when you started. All trash must be taken off-site unless the Client has arranged for an extra trash removal service with Twisted Vines.

DJ Guidelines

  1. Sound Level Compliance: The DJ must keep music at acceptable sound levels as determined by Twisted Vines. If neighbors or guests complain, sound levels may need to be further reduced.

  2. Music End Time: Music (live or recorded) must stop no later than 10:30 PM on Fridays and Saturdays and by 9:00 PM on other days. All equipment must be packed up and removed within the rental period.

  3. Set-Up & Tear-Down: The DJ is responsible for setting up and tearing down their equipment within the designated rental period. No equipment can be left overnight.

  4. Equipment Safety: All DJ equipment must be safely set up to avoid hazards. Cables should be taped down or secured to prevent tripping.

  5. Trash & Clean-Up: The DJ is responsible for ensuring that all equipment-related waste, such as cable ties, packaging, and trash, is removed from the venue at the end of the event. The DJ area must be cleaned and returned to the same condition as when you started. All trash must be taken off-site unless the Client has arranged for an extra trash removal service with Twisted Vines.

 

Photographer Guidelines

  1. Venue Access: The photographer is allowed access to all designated areas for photography sessions. Any special requests for locations must be approved by Twisted Vines.

  2. Time Coordination: All photography sessions must be coordinated with the event schedule to avoid conflicts with other events or activities.

  3. Property Respect: Photographers must respect all landscaped areas, avoid stepping in flower beds, and keep equipment off delicate surfaces.

  4. Venue’s Right to Use Photography: Twisted Vines reserves the right to use any photographs or other media reproductions from the event for publicity and advertising purposes. Twisted Vines may also choose to credit the photographer by name when using these images. If at any time you wish for media to be removed from our materials, or if you have specific requirements for how credit should be given, please make a request in writing to Twisted Vines. The Client agrees to hold harmless and not sue Twisted Vines for any use of the Client’s or Guests’ name or likeness in these photographs.

 

Coordinator Guidelines

  1. Vendor Coordination: The Coordinator is responsible for ensuring all vendors (Decorator, Caterer, Bartender, DJ, Photographer) are informed of and adhere to the venue's rules and guidelines. This includes but is not limited to:

    • Decorator: Ensuring all decorations are approved and properly installed without damaging the venue. The area must be cleaned and returned to its original condition, with all trash taken off-site.

    • Caterer: Confirming kitchen usage is limited to warming and storage, and that trash removal and clean-up are properly handled. The kitchen and catering areas must be cleaned and returned to their original condition, with all trash taken off-site unless an extra trash removal service has been arranged. Review Kitchen usage rules and clean up with caterer once they arrive and before they leave.

    • Bartender: Ensuring alcohol service follows the venue’s policies, including no glass containers (except for toasts), no shots, and stopping service 30 minutes before the event ends. The bar area must be cleaned and returned to its original condition, with all trash taken off-site unless an extra trash removal service has been arranged.

    • DJ: Making sure sound levels are maintained within acceptable limits and that music stops by the designated time. The DJ area must be cleaned and returned to its original condition.  Coordinating timing with DJ for wedding schedule.

    • Photographer: Coordinating with the photographer to ensure all photography sessions are planned around the event schedule and do not disrupt other activities or damage property.

  2. Deliveries & Set-Up: The Coordinator must coordinate all vendor deliveries and set-ups within the rental period. Twisted Vines must approve any early or late deliveries.

  3. Send-Off Rules: The Coordinator must ensure that the send-off complies with rules:

    • Permitted Items: Bubbles, sparklers, glow wands, and lavender are allowed for outdoor send-offs only.

    • Prohibited Items: Rice, confetti, balloons (outside), seed, glitter, fog machines, floating lanterns, and pyrotechnics are not permitted inside or outside the venue.

    • Clean-Up: The send-off area must be cleaned immediately after the event.

  4. Safety & Security: The Coordinator must ensure that all guests adhere to safety protocols, including no smoking in non-designated areas and no entry into restricted areas such as the pond, fountain or flower beds.  Be the designated person the Venue Manager connects with on questions or concerns. Please read over usage rules and agreement rules prior to event.

  5. Event End Time & Clean-Up: The Coordinator is responsible for ensuring that the event ends at the scheduled time and that all clean-up is completed promptly. All areas used during the event must be returned to their original condition, with all trash taken off-site or placed in the appropriate area if the Client has paid the extra trash fee.
